Enable W9 collection to ease tracking for recipient payouts

What is recipient W9 collection?

Enabling W9 collection on your campaigns will prompt recipients to fill in a W9 form once they have received $600 in gifts through the campaign. A report of the collected W9 form can then be requested to assist in issuing 1099's during tax season.

Note:

  • We cannot guarantee that recipients will complete their W9. If your recipient receives a W9 and does not fill it out, they will not be able to redeem their reward. However, you may still be obligated to issue a 1099.

  • We verify the recipient's name, TIN type, and TIN against the IRS database, but we do not confirm any additional details (e.g., address).

  • You may have to collect W9s from recipients who did not fill them in through our feature.

  • W9 collection is only available for recipients who are located in the US.

  • It is your responsibility to ensure tax compliance. We cannot provide tax advice and strongly recommend consulting a professional.

How does it work?

W9 collection offers advanced campaign reporting that tracks how much recipients have received in rewards through the campaign. Once recipients reach the $600 threshold, they must fill out a W9 form before completing their gift redemption. Recipients will not be able to complete their redemption until they have successfully submitted their W9. All of the W9s from your campaign can be made available upon request to assist you when it comes time to issue your 1099's.

How are gifts tracked?

By default, recipient gifts are tracked by the Recipient ID number saved in the recipient section of your account. If a Recipient ID is not provided, recipients will be tracked by email address. We recommend saving recipients with a Recipient ID to assist with accurately tracking recipients who may use different email addresses or shared email addresses.

W9 tracking is done on a calendar year basis. Recipients will receive a prompt to complete the form only after they have received $600 in gifts for that year. Once they submit the form, they will not be asked to enter their information again until they reach the threshold in the following year.

While we can verify that the recipient's name and TIN are valid, we cannot verify that all of the details provided are accurate.

A report can be pulled at the end of your campaign or at the end of the tax year upon request.
